Terms of Service

These terms are a plain-English agreement between you and LobbyHost ("we", "us"). By creating an account or using the service, you agree to them. If you are signing up on behalf of a business, you are agreeing for that business.
What the service is
LobbyHost is visitor and contractor check-in software for physical locations: a kiosk for people arriving at your site, notifications to your team, document signing, an evacuation roll call, employee clock in/out, and related tools. You run it in a browser; we host it.
Your account
You are responsible for the accuracy of what you enter, for keeping your password private, and for what people you invite to your account do with the access you give them. Tell us promptly at support@lobbyhost.com if you believe your account has been accessed without permission.
Your data belongs to you
The visitor records, employee records, documents, photos and signatures collected through your account are your business records. We host and process them to run the service for you — we do not sell them, and we do not use them to advertise to anyone. See the Privacy Policy for exactly what is collected and how it is handled.
Systems you connect
You can point LobbyHost at systems of your own — arrival notifications to your email addresses and your Slack or Microsoft Teams channels, and, if you connect one, driver check-in details including the captured signature to your own warehouse or logistics system.
Once information reaches a system you control, it is held there under your arrangements, not ours. We cannot read it, change it, or remove it, and closing or deleting your LobbyHost account does not reach it. Keeping, exporting and deleting those copies is yours to manage, as is anything your own systems then do with them.
What it costs
Pricing is $39 per month for your first location and $19 per month for each additional location, billed by card through Stripe. New accounts start with a 14-day free trial; a card is collected up front so service continues without interruption when the trial ends. There are no setup fees, no per-visitor charges, and no long-term contract — you can cancel anytime, and deactivating a location lowers the next bill accordingly. If a payment fails and remains unpaid, access to paid features may be suspended until it is resolved.
Changes to pricing and to the service
We may change our prices, our plans, and what is included in them, at our discretion. Features may be added, changed, replaced or withdrawn as the product develops, and plans may be introduced or retired.
Where a change affects what you pay, it takes effect at the start of your next billing period, and we will tell you before that happens — so if you do not want to continue at the new price you can cancel first and are never charged it. Changes that do not affect your bill may be made at any time.
Acceptable use
Use the service for lawful visitor management at sites you operate. Do not attempt to break into other customers' data, probe or overload the service, or use it to collect information about people who have not actually visited your site. Where the law requires consent or notice to collect a visitor's or employee's information — for example photographs or signatures — obtaining it is your responsibility as the operator of the site.
Use the service through the interfaces we provide — the kiosk, the dashboard, the staff pages, and any integration we document. Do not reach it by other means: not by scripts, automated tools, or direct calls to our systems, and not by reusing credentials to obtain anything the interface does not offer you. When an account closes, the only access that remains is exporting your records and reactivating it. Reaching anything else after that point is unauthorised, whatever credentials are still in your browser.
Service and support
We work to keep the service available and fix problems quickly, but we do not promise uninterrupted or error-free operation, and scheduled features may change as the product improves. Support is by email at support@lobbyhost.com.
Liability
To the fullest extent the law allows, our total liability for any claim arising out of the service is limited to the amount you paid us in the twelve months before the claim, and we are not liable for indirect or consequential losses. The service supports safety processes such as evacuation roll calls, but it depends on people checking in and out correctly — it does not replace your own emergency procedures and headcounts.
Ending the agreement
You can cancel at any time from the billing page or by emailing us; service continues to the end of the period already paid. We may suspend or close accounts that violate these terms.
When the account closes, the service stops. The kiosk stops — it will take neither a check-in nor a check-out. Arrival notifications stop. The dashboard closes, and so does the evacuation roll call. Anything you have connected to it, such as a Teams channel or your own warehouse system, stops receiving from us.
For the next 30 days you can still sign in to do exactly two things: export your records and reactivate the account. Reactivate within that window and everything works again as it did.
Because the service stops completely, anyone recorded as on site at the moment the account closes stays recorded that way until you reactivate — the kiosk can no longer sign them out. Plan a closure for a time when your sites are empty.
After an account closes, its data is kept for 30 days so you can reactivate. Reactivate within that window and everything is exactly as you left it. On the 31st day the account and all of its data are deleted automatically. That includes visit records, captured signatures, and the visitor and employee photos and signed documents held in file storage. This deletion is automatic and unconditional — it runs on a clock, not on anyone's decision, and it cannot be reversed once it has run.
You can also end the account yourself at any time from Settings → Your data. Doing so closes it immediately and schedules the same deletion 7 days later; you can cancel that within those 7 days from the billing page. Export your records first — the export is the only copy that exists outside LobbyHost.
Changes
If we change these terms in a way that matters, we will post the new version here and update the date above; continued use after that is acceptance. These terms are governed by the laws of the State of Michigan, USA.
